duration - Indefinite
Job details: Reports to: Head of Production
Start: ASAP
Overall Responsibilities:
Provide administrative support to the Head of Production. Create and maintain all personnel schedules and machine forecasts for the facility.
Duties:
- Maintain accurate and up-to-date Facility Schedule(s) in consultation with the Production, Tech and Facility Departments.
- Work with Head of Production and Department Heads to plan personnel needs for upcoming productions; create hiring requisitions.
- Coordinate all personnel and machine move-requests, (via NAT), for production crews.
- Work with Human Resources to plan anticipated hiring needs.
- Create and update Excel based charts, graphs, spreadsheets, and presentations.
- Update vacation database and track vacation requests/vacation taken for all production personnel.
- Provide organizational support including receiving, screening, and /or routing incoming telephone calls, faxes, emails, and reels.
- Prepare Head of Production?s expense reports for approval.
- Coordinate travel as required: Coordinate flights, accommodation and other means of transportation.
- Order office supplies as required and supervise destruction of confidential documents.
- Recommend improvements to the management of the flow of paper.
- Perform other administrative duties as required.
Qualifications:
- Minimum 2 years administrative experience in a fast paced dynamic environment.
- Highly competent in Microsoft office programs, specifically MS Word, MS Excel, MS Outlook, MS PowerPoint and aptitude for learning new computer software and office technologies.
- Extremely well organized, above average capacity for planning and scheduling meetings and travel.
- Accurate, dependable, and able to anticipate needs.
- A people person with excellent verbal and written communication skills as well as strong proofreading abilities.
- Attention to detail, ability to prioritize tasks.
- High degree of self-initiative, maturity, confidentiality and strong sense of business acumen.
- Ability to see projects to completion.
- Pleasant phone manner.
