Job details: General Purpose
Reporting to the Curator of Modern and Contemporary art, provide a high level of administrative support and act as primary source of information and access to the Modern and Contemporary collection for the public, visiting scholars, faculty, and students.

Essential Duties
1. Serve as a principal source of information to the public, faculty, visiting scholars, and students. Use The Museum System (TMS) to explain and describe the collection and available reference material. 2. Serve as a TMS user to department and other staff members at the Art Gallery. Develop TMS database, attend weekly meetings and train Art Gallery staff on usage of TMS. Identify problems with collection database categories and modules; propose solutions. 3. Use knowledge of research methods (library, internet, etc.) to compile information and create new object records in TMS database; review and maintain database entries for accuracy and accountability; enter report parameters and run reports. 4. Catalog new acquisitions. Prepare object acquisition forms and track each object through acquisition process overseeing invoice payments, deeds of gift and letters of acceptance. 5. Oversee digital images of new acquisitions: obtain images, scan, and format using Photoshop. Oversee departmental library. 6. Prepare object lists for exhibitions; work with registrars and art handlers on installations. Produce and mount collection and exhibition labels. 7. Monitor all outgoing loan activity for the department and maintain internal loan files. 8. Prepare and monitor departmental and exhibition budgets. 9. Act as liaison to Business Office and process all paperwork related to invoices, EMS, check requests, deposit slips, Orbitz travel arrangements for staff and visitors, transportation for students, staff, or visitors, requests for service orders, etc. 10. Coordinate meetings; make and coordinate travel arrangements, coordinate special events such as symposia with all relevant departments within and without the gallery. Compose substantive correspondence and other written material. 11. Prepare requisition forms for department activities. Handle all requisition checks. 12. Oversee and instruct other support staff including student assistants and interns. Oversee all daily activity in office. Maintain office calendar and object and donor files.

Education & Experience
1. Two years of related work experience in the same job family and a Bachelor's Degree in a related field, or an equivalent combination of experience and education.

Additional Education & Experience
1. Preferred: Bachelor's Degree in Art History or related degree and two years of museum experience; experience with TMS collections management database; knowledge and experience with Modern and Contemporary Art; successful experience monitoring budgets.

Ability to regularly exercise discretion and independent judgment and to be a team player in an active office environment. 3. Well-developed written and oral communication skills. 4. Demonstrated accuracy and strong attention to detail. 5. Ability to juggle multiple tasks and meet demanding deadlines. 6. Demonstrated editing and proofreading skills. 7. Proficiency with Microsoft Office: Word, Excel, and PowerPoint. 8. Preferred: Knowledge of French and/or German; knowledge of Photoshop and PowerPoint.
